In order to enhance your experience when using our Services, we may ask you to provide certain personal data.  This information, which we request for this purpose, will be kept and used in accordance with the privacy policy criteria described here.  The App makes use of third party services that may collect data that help identify you personally.

Recording of data

We would like to note that if the App encounters a bug, we collect data and information via third-party tools from your device, known as "log data".  This information may include data such as your device IP address , device type, operating system version, application status details while using our Service, the time and date of your access to the Service, and other statistics.

 

Cookies

Cookies are small files that contain data that can be used as unique and anonymous identifiers.  These files are sent to your browser from the sites you visit and are stored on your internal device.

 

Our service does not directly use cookies.  However, the App may use third party services that rely on cookies to collect information and improve their services.  You have the option to accept or reject these files, as well as knowing when a cookie is sent to your device.  If you choose to reject them, you may not be able to take full advantage of all the features of the Service.

 

Where do we collect personal data about you from?

(A) when installing and setting up the application, the application collects the device information contained in the serial number of the operating system, model, manufacturer and IPO and  some other similar information and stores it in the cloud in the employee file of the DocSuite HCM platform .

(B) in the event of errors that hinder the application, the error information and device information are sent to the crash and maintenance center of the DocSuite HCM platform.

(C) upon registration of attendance and departure, the location of the staff member is sent to verify the location of the staff member when he or she is present and to send a vital photo to be recorded from the staff member.

(D) the application always tracks the movement of the employee by locating the GPSs and sending  the locomotive to DocSuite HCM to  monitor the presence of the employee within the scope of the work and within the working time only and is not tracked during leave, permission and off-time times, allowing management to accurately assess the performance of employees.

In the application "Hudur ESS" " ESS" from the DOC Suite HCM program, employees have the possibility to submit self-service applications and ESS applications, in addition to the possibility to register attendance and leave by checking the vital image of the face and geographical location.  This application also provides the feature of tracking and monitoring the location of employees via their mobile devices during working hours and only their workday, where this information is sent to their profiles in the company’s human resources department to ensure they adhere to the specific workplace without causing any inconvenience to them.  It is noteworthy that employees are alerted to this process and ask them to approve it in advance through mobile notification when running the application for the first time and they are fully aware of it to enhance transparency and confidence, the application provides detailed reports on the attendance and departure record of employees, allowing the management to evaluate the performance of employees accurately.  These reports include work pattern analyzes and productivity assessments, contributing to improved work environment and team efficiency.  This step is part of our commitment to balancing work requirements and employee well-being, while maintaining a high level of discipline and responsibility.

Location services

(B) if any errors appear that affect the performance of the application, the error details with the device information are sent to the follow-up and maintenance unit of the DocSuite HCM platform to take  the necessary action.

(C) to register attendance and departure, the geographical location of the staff member is sent to confirm his or her location at the time of registration of attendance or departure, along with a photo taken at the moment to verify the identity of the staff member.

(D) the application continues to track the location of the employee through the GPS system, sending location data to DocSuite HCM to monitor  the employee's presence in the area and the specific times of work only, without tracking during holidays, permission to be absent, or outside working hours, thus making it easier for management to accurately assess employee performance.

 

Protecting the privacy of children

We do not knowingly collect personal information from children under the age of 16.
